We are seeking a highly organized and proactive Administrative Assistant to support our accounting team. This role is essential in ensuring the smooth operation of our office and providing high-level administrative support. The ideal candidate will have excellent proof-reading skills, strong attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment. Experience in a public accounting firm and understanding of its seasonal nature and deadlines is a plus!

Duties:

  • Financial Statements, SOC Reports, Engagement Letters, Management Letters, and Governance Letters: Proofing, final proofing, final copies, binding
  • Time Sheet Checkoff
  • Monthly Expenses: Postage logs expense (end of month) – Cleveland, Sandusky and Sheffield
  • Monthly Billing: 1st of the month, 10th of the month (print and post monthly invoices) and print ARs, BARC Report
  • Administrative – Miscellaneous: Reception – Answer phones (morning and lunch), mail, scan brokerage statements, unload dishwasher 2 to 3 days per week
  • 1099s: Type and process Forms 1096/1099
  • Electronic Filing: 1099/1096, W-2
  • New Client Acceptance Forms: Assign numbers, put new clients in Practice and iChannel, scan approved new client form to iChannel, put contact info and email addresses in CCH ProSystem fx Practice Management* from new client form.
  • Provide comprehensive administrative support to the assurance services department
  • Handle data entry tasks with precision and maintain accurate records
  • Perform clerical duties such as filing, organizing documents, and maintaining an orderly office environment

 Experience:

  • Proven experience in an administrative role or similar capacity (CPA firm a plus!)
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Proficiency in Excel and Microsoft Suite necessary
  • Excellent customer service skills with a friendly demeanor
  • Impeccable proofreading skills
  • Knowledge of phone systems and basic clerical procedures is beneficial
  • CCH Practice Management: 1 year (Preferred)
